Office Administrator

Job Summary:
The Office Administrator is seen by all facets of the community and is responsible for showcasing Paso Robles Youth Arts in the highest regard to stimulate overall trust and recognition of the organization.

This position will be initially part-time/non-exempt then potentially move into full-time after employee review at approximately 90 days of employment.

Key Responsibilities:

ADMIN TASKS

  1. Assist with record-keeping that involves highly confidential information.
  2. Communicate with members of the public when an inquiry is made.
  3. Clerical duties that involve the ordering of equipment, office supplies, and managing inventories.
  4. The ability to work under pressure when given a task of vital importance.
  5. The task of inputting, filing, and managing the data that is held within the organization’s file management system.
  6. Act as a direct assistant to the Executive Director.
  7. Ensure that documents, reports, and presentations are set up prior to any meetings. Take notes & run meetings, as needed.
  8. Process emails and letters that are received
  9. Uphold office operations and procedures by undertaking various administrative tasks.
  10. Assist in recruiting, selecting, and training new volunteers, assigning volunteers to undertake operational requirements, and following up on their progress.
  11. Assist in the preparation of Board Meeting agendas and materials, upload to My Board Packet
  12. Assist in Board member communication and scheduling of meetings and/or events

PROGRAM & DEVELOPMENT TASKS

  1. Help plan upcoming class schedules and yearly schedule with the Program Director, as needed
  2. Student record keeping – keeping student data up to date, recording absences, distributing student surveys at end of the session, etc.
  3. Pull class and enrollment data at the end of each session, compile it, and send it to the Program Director or other relevant staff. Pull student reports when needed.
  4. Receptionist responsibilities such as greeting instructors, students, families, vendors, clients, and donors. As well as answering phones, taking messages, returning calls, emails, and texts.
  5. Follow opening and closing procedures.
  6. Assist and support any conflicts that may occur in the classroom.
  7. Assist with Donor communication, management, and CRM entries
  8. Assist with Donor Appreciation and Acknowledgement
  9. Support grant package compilation, gathering necessary attachments
  10. Complete grant research, as needed
  11. Assist in the planning and execution of community fundraisers and auctions

FINANCIAL RESPONSIBILITY

  1. Assist the Executive Director with budget planning for program classes, shows, grants, and events.
  2. Compile credit card receipts and enter credit card reports each month.
  3. Process all cash and check donations that come through the mail or in person.
  4. Handle cash during shows and events and help process all payments/donations after each. Run credit card swiper at shows and events when necessary.

GRAPHIC DESIGN, SOCIAL MEDIA, & WEBSITE MANAGEMENT

  1. Curate and over see all content creation
  2. Design class schedules, session announcements, marketing material, brochures, facility/event signage, playbills, etc.
  3. Manage all social media content that promotes and showcases the organization’s mission to help generate public awareness.
  4. Keep important information on the website up to date by editing text boxes, managing files, and creating links.
  5. All content must be produced in line with the Paso Robles Youth
  6. Arts Brand Manual
  7. All content must be produced in English and Spanish.

SKILLS & ABILITIES

  1. Carry a high standard of professionalism.
  2. Bilingual: English/Spanish, required
    Available to work M-F, 1:45pm-6:45pm and complete facility closing duties
  3. Strong attention to detail and ability to multitask.
  4. Strong organizational and time management skills.
  5. Good verbal/written communication skills, in the English language, with the ability to effectively communicate with administration, peers, parents, students, donors, customers, visitors, and others.
  6. Must be tactful and able to resolve disputes.
  7. Proficient (or willing to learn): Google (Gmail, Chrome, Drive,
  8. Docs, Sheets, Calendar, Forms, Business, permissions, sharing, etc), cloud-based file management systems, Microsoft Office Suite, Canva, CRM database and Adobe Acrobat.
